Project: Family Day Management
The event
Each year awe run a family day for Members of the Association of Woolworths Employees. A critical part of the management of this day is to capture the number of people that want to attend, and provide them with entry tickets. We also record the details of their family including the number, age and gender of the children as each member´s child 12 years and under receive a gift on the day. awe currently have approximately 24,000 members.
Manually processing the information on the returned forms used to take weeks and hundreds of hours to collect and collate the data each year.
The Info-Organiser solution:
Info-Organiser provided us with a customised solution to enable us to capture the required information and generate data to assist us in:
- Recording each child´s name, age group and gender for a gift
- Allocating attendance tickets for the each member and their children at the Annual Family Day
- Noting those who wish to donate their presents to charity
- Storing all the details in a database for future analysis
- Retrieval of forms on site to confirm details on the original form when required
By using a combination of form reading technology and a customised database Info-Organiser was able to deliver a simple customised solution including;
- Form Design
- Mail Merging
- Printing
- Scanning
- Data verification
- And storing each form as tiff image.
The result
Though this solution we were able to save hundred of hours in manual labor costs for processing, and a vast increase in accuracy of the data collected. We are now working with Info-Organiser to integrate bar code technology for the entry cards and gift allocation to further increase these efficiencies.
