Q: Why should I use IO when I can scan documents, and then store and retrieve them using Windows Explorer?

IO´s powerful user-assigned multi-keyword structure, and ease of use facilitates the rapid retrieval of any single or group of documents. Also unique to iO is the I-Link feature that´s a ´virtual paperclip´ appending a scanned document to an electronic record. For example an original supplier´s invoice linked to a MYOB Purchase Order or cheque transaction.

Q: With my existing licence, am I able to create a multiple databases?

Yes. For example you may wish to segregate home records from office documents.

Q: How many documents will IO store?

IO´s standard installation will store up to 2 Gigabytes of data. Typical black and white images are 30kb per page, therefore you´ll be able to store around 66,000 pages per datafile - equivalent to a couple of dozen 3-drawer filing cabinets or 44 capital city telephone directories! Remember, your licence entitles you to create as many different datafiles as required. For instance, you may create completely distinctive files for accounts, personnel data, home records etc. each with a 2 Gigabyte capacity.

Q: What if I reach IO´s storage capacity?

If you need to store beyond 2 Gigabytes of data, you can upgrade to Microsoft´s SQL platform for virtually unlimited storage.

Q: Is there a limit to the number of categories and sub-categories I can have in my database?

You can have virtually an unlimited number of folders and sub-folders in IO.

Q: Is IO multi-user?

Yes.

Q: Can I use my existing flatbed scanner?

Yes, however for fast and convenient scanning, we recommend a ´twain compliant´ sheet-feeder scanner. Click on the hardware link for more information.

Q: My database includes a confidential personnel and payroll category. Am I able to preclude designated users from opening documents in this category?

Yes. IO´s sophisticated but easy to use security enables you to selectively choose who has access to sensitive information.

Q: I want to insert a letter I created with MS Word into IO. Does this mean I have to print and then scan it to insert the file into the IO database?

No. You can merely drag and drop it from Windows Explorer into the IO.

Q: Can I move or copy files and categories to another iO database?

Yes.

Q: Are there any characters I should not use in my filenames or keywords?

Try avoiding special characters like ´*´ ´?´ ´#´ ´<´ ´>´which are frequently reserved by Microsoft software for other functions.

Q: Is there a sample file with which I can practise and experiment?

Clearpaper is a fictitious company created to run with the sample MYOB Clearwater datafile supplied with Premier V6. It also includes sample data for personnel records, asset and insurance registers, multi-divisions etc.

Do you often lose the warranty card to that appliance that just broke down? Do you have trouble locating copies of personal invoices and investment records at tax time? What about all those recipes cut out of newspapers & magazines that you intend to sort out one of these days?

Q: How do I extract a file image to email or save to a floppy disk?

It´s as simple as right clicking the filename and selecting the destination. You can email it as an attachment or save it to a floppy or other storage media. Emailing will automatically request an email address and place it in your Outbox with the option to include a covering note.

Q: Does the Government have a formal policy regarding document imaging?

As a means to minimizing the use of paper documents, the Federal and State Governments are increasingly encouraging the use of electronic document storage and retrieval. Q: Is IO Australian Taxation Office compliant?

Q: Are there any circumstances when I should also retain the original document?

In the overwhelming majority of situations, the original documents can be safely destroyed if you comply with the ATO criteria. Please consult your accountant or professional advisor before disposing of your original documents.

Q: Are IO data files easy to backup?

All IO data are stored in one convenient file enabling simple backup routines. Moreover, it´s easy to take a copy of everything on the road, to another office or home. For example an accountant visiting his clients no longer has to lug around voluminous paper files –every file for every client, can reside on a notebook computer!
